How to use this legal centre

These documents are hosted on the Votegrain marketing website. Links in the product application open the applicable document here so that the product and website cannot silently present different legal wording.

The demo-request privacy notice remains separate because it describes one form only. It does not replace the product Privacy Notice.

Buying or piloting Votegrain

• Start with the Customer Agreement for the core service terms.
• Use one approved Order route: a signed Pilot Order for a sales-assisted pilot, or an Online Subscription Order displayed immediately before secure checkout. The routes have different term, renewal and payment consequences and must not be combined silently.
• The standard pilot uses the Pilot Order's manual-invoice schedule. An Online Subscription Order applies only when Votegrain expressly offers live self-service checkout and shows the billing organisation, plan, recurring amount, cadence, promotion, tax treatment, renewal and cancellation terms before acceptance.
• No demo request, account creation, ordinary product action or payment-provider receipt is authority to bind or charge an organisation.
• Read the Service, support and exit sections in the Customer Agreement and Pilot Order before relying on an availability, response, backup, recovery, export or deletion commitment.

Privacy and data due diligence

• The Privacy Notice covers Votegrain's own controller activities and explains when the customer is normally the controller for Customer Data.
• The DPA contains the Article 28-style processor terms plus processing, security, residency, retention, return and deletion schedules.
• The Subprocessor and International Transfer Schedule identifies each active or conditional provider, its purpose, data, locations and transfer safeguards for the first-pilot profile.
• The Participant Notice Guide tells each customer what it must explain to voters and other participants for a particular initiative.

Using the service

• End User Terms apply to individual authorised users.
• The Acceptable Use Policy protects people, Customer Data and the service.
• The first-pilot default is that AI is disabled. A later Order may enable a named AI feature only after its customer control and provider schedule are operational.
• The Security Overview records only evidence-backed safeguards and operational commitments.

First-pilot profile and activation gates

• The supplier is VOTE PLATFORM LIMITED, registered in England and Wales under company number 17385346. England and Wales law and courts govern the first-pilot contract.
• The standard first pilot is a UK business-to-business, sales-assisted service: fixed term, no automatic renewal, manual GBP invoice and no consumer purchase. A separately displayed Online Subscription Order is a recurring purchase route, not a silent extension of that pilot.
• Customer Data may enter the pilot only after the product is bound to the Supabase West EU (London) customer-production project and the activation check records that binding.
• AI and live Stripe are disabled for the standard first pilot. Stripe may process an Online Subscription Order only after its separate legal, price, authority and operational gates are active. Sentry is limited to redacted diagnostics in its Germany region, with 30-day retention and session replay and attachments disabled; Votegrain must verify the applicable provider terms before activation or disable Sentry for that pilot.
• The customer-specific fee, dates, capacity, contacts and permitted decision process belong in the signed Pilot Order. Independent legal approval and operational activation evidence remain release controls rather than missing commercial choices.
